McCanna Position Number: 1899 Reports to: Director, Graduate Program in Public Administration (MPA) POSITION PURPOSE The purpose of this position is to provide: support to current and potential students, external relations, and administrative support for the MPA program, with primary attention to the Tribal Governance Concentration. This position, in conjunction with the Assistant Director General Track and the Director, is responsible for: a) advising current and potential students on admissions and program requirements, financial aid and on internships; b) managing communications; c) developing and implementing program marketing and recruiting plans; d) planning and implementing MPA events; and e) working with the staff team to ensure the smooth day-to-day operation of the program including basic administrative duties and developing and maintaining information and tracking systems (including the Web presence and using internal software to track student progress and assist in the mechanics of scheduling). NATURE AND SCOPE Organization Fit The Assistant Director - Tribal Governance(TMPA- AD) reports to the MPA program Director and works as a team with the Assistant Director MPA(MPA- AD), other graduate program staff and MPA faculty. Environmental Characteristics This position provides continuity of service delivery. Due to the phenomenon of rotating Directors and rotating faculty, it is critical that the Assistant Director positions exist to maintain the institutional knowledge and framework of support within which the program operates. This position is also distinct in its relationship to American Indian communities. This position interacts with Native communities on a regular and sustained basis, requiring: the development of relationships, both personal and professional: the establishment of trust and reliability: and service to Indian community. A deep understanding of Indian Country, cultures and ways of being are critical to this position. Subordinate Summaries This position supervises a program assistant. This responsibility rotates from year to year with the MPA-AD. ESSENTIAL JOB FUNCTIONS: This position has duties and responsibilities that fall into four main criteria: development and maintenance of relationships with internal and external stakeholders; project management; service delivery to to students and other stakeholders; and program administration. Under the direction of the MPA Director, in a team with the MPA-AD, will conduct support activities for current and potential students including: Communicate with and counsel prospective and newly admitted students about the program. Work with Admissions, Registration and Records and other Enrollment Services staff persons to conduct effective and efficient enrollment management activities. Counsel, advise and track progress of matriculated students. Organize and attend recruitment and admission counseling sessions for the MPA program. Represent the program at selected recruitment and career fairs, meetings and conferences. Represent the program at the quarterly TESC Academic Fair. In collaboration with the Office of Financial Aid, assist students to identify and apply for financial aid. Track financial aid decisions and report to other appropriate Evergreen offices. Maintain and update program listserves. Maintain and update curriculum support materials, including posting schedules and syllabi on the webpage, working with adjuncts to ensure materials are available for students. Under the direction of the MPA Director, in a team with the MPA-AD and other graduate program staff, will conduct external relations activities, manage communications and support events, including: Work with staff and faculty in designing, updating and producing catalogs, brochures, policy manuals and other materials for print. Work with staff and faculty in designing and regularly updating the MPA homepage. Develop and maintain relationships with relevant external agencies, in particular Tribal managers, urban Indian organizations and Indian educators across the region. Manage MPA - Tribal Concentration recruitment budget. In coordination with MPA-AD and Director, evaluate Graduate Student Scholarship applications and make awards. Develop and maintain internship contacts and listserve. Maintain relationship with Grays Harbor Bridge program and Evergreens Reservation Based Community Determined program to develop a student pipeline into the MPA Tribal Governance Concentration. Oversee production of MPA newsletter and the MPA Tribal Governance newsletter. Provide staff support for MPA advisory board. Provide staff support for MPA alumni association. Provide staff support for MPA Tribal Alumni Association/Advisory Board. Lead development of coordinated marketing, advertising and recruitment strategy. Assist the faculty and staff in organization and staff support for MPA events (meetings, symposia, conferences, special events, graduation, orientation, etc.) Under the direction of the MPA Director, in a team with the MPA-AD and other graduate program staff, will work to ensure the smooth day-to-day operation of the program, including: Using internal software to track students, budgets & financial aid. Using internal software and working with other TESC offices to support the scheduling of classes (including coordinating with Registrar and Evening and Weekend Studies, working with space scheduling, etc.) and to track enrollments. Develop and maintain prospective student contacts and database. Develop and maintain alumni contacts and database. Assist MPA Director and MPA-AD in tracking of all program data Assist in regular program evaluations and the productions of Annual Reports and regular self-studies (for accreditation and program review purposes). Assist in managing and tracking performance/evaluation data working with the Office of Institutional Research. Work as a team to address all regular, day-to-day administrative operations of the program. KNOWLEDGE,SKILLS and ABILITIES REQUIRED: Knowledge about higher education in general, and the MPA program and its policies in particular. Ability to provide academic counseling and keep current on student recruitment, academic and admission counseling policy and procedure. Skills in marketing, promotion and public relations strategies. High level of organizational, planning and administrative skills. Ability to manage time effectively - ability to manage multiple priorities with competing deadlines and bring projects and tasks to completion. Ability to work well with others staff, faculty, students, the public and to collaborate as a member of a team. In particular, the ability to collaborate and share tasks with the MPA-AD and the MPA Director. Initiative; self starter. Ability to work with minimal supervision. If not already skilled in the software, willing and able to quickly learn and build skills for immediate use. EDUCATIONAL AND EXPERIENCE REQUIREMENTS: Ability to travel (mostly locally/regionally) to assist with recruiting. Flexibility to work varied schedule, including evenings and weekends, to assist with program events. Desired qualifications: Documented successful experience in administering graduate/professional school programs and developing graduate/professional school admission and recruitment programs. Documented successful experience in administering a related program or initiative.
